Use Zoom AI to Auto-Summarize Shipper Sales Calls
What This Does
Zoom AI Companion automatically transcribes your shipper calls and generates a structured summary with key points and action items — so you can stay focused on the conversation instead of scrambling to take notes, and follow up with a professional recap email immediately after.
Before You Start
- You use Zoom for shipper sales calls or meetings (free Zoom works; AI features need Zoom account with AI Companion enabled)
- Your account admin has turned on AI Companion (many business accounts have this; check with your admin or in your Zoom settings)
- Time needed: 10 minutes setup; 2 minutes per call thereafter
- Cost: Zoom free plan works for meetings under 40 min; AI Companion included with paid plans ($15/mo+)
Steps
1. Check if AI Companion is available
Sign into your Zoom account at zoom.us. Go to Settings → AI Companion. If you see "Meeting Summary" and "Smart Recording," you're set. If not, you may need to upgrade or ask your account admin to enable it.
2. Enable Meeting Summary before your next call
In your Zoom settings, turn on "Meeting Summary" under AI Companion. When enabled, Zoom will automatically generate a summary after each meeting ends.
3. Start your meeting normally
Schedule and join your shipper call as usual. You don't need to do anything different during the call. Just have the conversation.
4. Retrieve the summary after the call
When the call ends, Zoom will email you a meeting summary within a few minutes. It includes: key topics discussed, decisions made, and action items. You can also find it in the Zoom web portal under Meetings → Previous.
5. Turn the summary into a follow-up email
Copy the action items from the Zoom summary. Paste them into ChatGPT or Gmail and ask: "Write a professional follow-up email summarizing what we discussed and confirming the next steps listed here." In two minutes you have a follow-up email ready to send.
Real Example
Scenario: You had a 30-minute call with a warehouse manager at a consumer goods company. You discussed their shipping volume, their frustration with their current broker's communication, their peak season timing, and agreed to send a rate proposal by Friday.
What Zoom captures: Meeting summary emailed to you with: Topics: Current broker issues, seasonal volume, rate discussion. Action items: [You] Send proposal by Friday. [Them] Confirm contact for billing team.
What you do with it: Paste into Gmail, use Smart Compose or ChatGPT to write the follow-up. Send within 15 minutes of the call ending. Shippers are consistently impressed by how quickly and accurately you captured everything.
Tips
- Let the shipper know at the start: "I'll be recording this call for my notes — is that okay?" Most people say yes and it sets a professional tone
- The transcription isn't perfect but the summary is — it focuses on decisions and next steps which is what you actually need
- If you can't use Zoom recording, use Otter.ai (free plan available) which works the same way for audio transcription and summary
Tool interfaces change — if a button has moved, look for similar AI/magic/smart options in the same menu area.
